How to navigate the new payments dashboard

We are introducing a new Payments dashboard. The dashboard is an improved view of tenants’ rent collections and their transaction history.

For the time being, you can switch between the current Rent Collections dashboard and the new Payments dashboard from the banner at the top of the page:

The new dashboard has been split into two tabs: contracts and tenants. You can view and navigate your rent collections by contract or by individual tenant. You can switch between the two tabs at the top.

You can still search by either property or tenant in the search bar:

You can now also search by contract ID and signature ID.

Dashboard filters

New Tenant rent collection view

When looking at a tenant’s rent collection, any other tenants on their tenancy will be shown on the lefthand side. You can navigate between them here:

Room numbers
For rent collections for PBSA properties, you will see the room number is now included in the blue banner at the top:

Status banners
We’ve moved the rent status banners (e.g. for when a contract has been cancelled, the tenant has been checked out early, etc) to the top of the page.

Banners will also be displayed for other information such as when there are pending rent changes, when rent collections are frozen etc.

Contract details

The details of the tenant’s contract will now show within their rent collection. This will be collapsed by default. Press the breakdown arrow to view their contract details.

Clicking the link icon next to their contract ID will take you directly to their tenancy on the contracts dashboard:

Tenant and Guarantor details
If the tenant has a guarantor, their details are shown in a separate tab (in the same style as the contracts dashboard) next to the tenant’s details:

Rent collection details
The settlement bank account (which account the platform will pay rent for this collection out to) is now shown for each rent collection.

Whether or not to allow tenants to pay manually is actioned via the below toggle:

Rent collection actions
Actions for the overall rent collection are now found within the ‘…’ menu at the top of the rent collection:

This includes:

  • Freeze/unfreeze the collection

  • Edit the collection

  • View completed changes

    • Shows all the completed rent changes by date

  • View SMS messages

  • Delete the collection

Debtor notes have been moved to the individual instalments.

Individual rent collection filters
You can filter an individual rent collection’s instalments by their status and, if applicable, the days aged.

The filter options are:

  • Debt age

    • 0 days aged

    • 1 - 30 days aged

    • 31 - 60 days aged

    • 61 - 90 days aged

    • 91+ days aged

  • Status

    • Paid

    • Overdue

    • Unpaid

Individual period actions
Actions for an individual rent period have been moved to the ‘…’ menu for the individual instalment. This is found on the righthand side:

Here, you can add debtor notes against an individual instalment.

Once a debtor note has been added, they can be edited and both archived from the ‘…’ menu for that note:

There is a new optional column, ‘Rent period debtor notes’, for period level debtor notes that can be added in the Tenants, Payments and Rent Periods report. This column is separate from an existing ‘Debtor notes’ column which would provide notes added only from the old Rent Collection dashboard.

Other individual instalment actions remain unchanged:

  • Add offline payment

  • Add credit note

Instalment Transaction History

Each instalment with at least one payment attempt can be collapsed to view further details of payments and payment attempts. Additional information is shown here such as the payout date and payment method: have been moved into the period level menu.

Records of offline payments, rent credits etc. for the individual instalment can also be viewed here.

Audit log
We’ve added an audit log at the bottom of each rent collection. This functions in a very similar way to the audit log on the contracts dashboard.

The audit log includes each action for a rent collection. This includes things like when a collection was frozen and by which user, when a tenant has set up their rent, when a rent collection change was initiated etc.

Rent Schedule Templates
Your rent schedule templates can be viewed from the ‘…’ menu at the top of the page:

Manually Create a Rent collection
You can manually create a rent collection from the dashboard if you have not done so from the tenancy by selecting ‘create rent collection’ at the top:
