Overview

The Contacts list allows you to see the contacts for your landlord account. These include owners.

To access it, click on the People tab, then click Contact Centre.

The Contacts list shows:

  1. Contacts - name, email address, user type.

  2. Search bar.

  3. Filters user type, groups, property, location.

  4. Add contact button - add new contacts (owners only).

  5. More options button - access the Groups settings.

  6. Select contacts option - select from the list of contacts to add/remove them from groups or to send broadcast messages.

Contacts

There are five types of users that are shown on the Contacts list:

  1. Owners - Users that own properties that you advertise and/or manage on their behalf.

    • Click the more options icon at the end of the row to view the owner profile.

  2. Tenants - Users that have a signed and completed tenancy agreement on your Contracts dashboard.

    • The pre-defined group the tenant is added to is determined by the status of their tenancy (past, current, future, checked-in).

    • Click the more options icon at the end of the row to view the tenant details.

  3. Guarantors - Users that have been nominated by a tenant to act as a guarantor on a tenancy.

    • Click the more options icon at the end of the row to view the tenancy and status, or send a message.

    • Deleting a tenancy will remove the guarantor details from your contacts.

  4. Prospective tenants - Users who have sent an enquiry to one of your properties via the listing or users that were added by a member of your team (offline enquiries).

    • Click the more options icon at the end of the row to send a message.

  5. Contractors - Maintenance contractors that have access to the Contractors webapp or are managed by you.

    • Click the more options icon at the end of the row to view the contractor details.

    • Contractors need to be added here before you can assign them to a maintenance ticket

Search

You can search by the user's:

  1. Name.

  2. Email address.

The results will update as you type in the search bar.

Filters

The filter options next to the search bar allow you to filter your contacts by various categories.

Filters - User type

View the contacts based on the user type.

Filters - Groups

Tenants can be filtered by pre-defined groups based on their tenancy start date.
You can add custom groups from the Groups settings.

Filters - Property

Search and select specific properties in your portfolio.
View tenants and guarantors with tenancies for the property or the owner linked to the property.

Filters - Location

If you have properties in multiple cities, you can select a specific city.
View the tenants and guarantors with tenancies for properties in the city or owners linked to the properties in the city.
